MELBOURNE COMMUNITY GAMELAN (MCG) MEMBERSHIP CONDITIONS ( Updated April 2013)

  1. Membership of Melbourne Community Gamelan is $10 annually, paid at the beginning of the year.
  2. Practices are held every Monday at 210 Berkeley Street, Carlton, at 6.15 pm. The room is open from 6.00pm.
  3. Tuition fees are $80 term (10 classes) and are paid at the beginning of each term.  Fees are not reduced if you do not attend a practice (as Pak Poedi’s tuition fee is not reduced if there are fewer members in attendance).
  4. Additional practices may be scheduled before performances.  If the performance is a paid performance, members will not be charged for these additional practices (but Pak Poedi will be paid a tuition fee as usual).
  5. If you will be absent for a whole term, please advise the group well in advance, so a replacement can be found.  You will not be charged for terms in which you are absent for the whole term.
  6. If you are unable to attend a practice or if you are running late, please advise Robert
    (mob 0417 304 971) or Marianne (0434 147 320) or email the group.
  7. Each member is asked to read their email at least once a week, to keep up with messages that may be sent by email.

  9. Please provide your address, phone number and email address to the Secretary (Robert McMullen rmcm42@bigpond.net.au). If you change these details please advise the Secretary and email the group.  The Secretary will circulate membership lists periodically.  If you do not have a current list, please ask for one.
  10. The MCG Committee is elected at the Annual General Meeting, held in October each year.
  11. Procedure for inviting new members into the group:
  • Membership is by invitation, and all new members should be agreed to by the whole group prior to the person being invited.
  • The President should ask potential new members to attend three practices. Then, after consulting with the group, the President will formally invite the person to become a member.  At this point the new member will be asked to pay membership and fees.
  • It is also possible to invite people to play with the group on an ad-hoc basis (eg to play for a gig), without paying fees.  These invitations should be issued after discussion with the whole group, either by the President or by a group member delegated by the President.

11.       Use of emails sent to the whole group:

  • Emails can be used for sending apologies
  • Notation for practices.  (It is the responsibility of members to bring notation to practices.)
  • Potential gigs are to be discussed at meetings, not over email.
  • Problems within the group are to be discussed at practices or a special meeting, not by email.

12.       Minutes of the Melbourne Community Gamelan Committee are to be sent to the whole group.

13.       Duties of office-holders:

President: The President is responsible for:

  • ensuring that the Committee meets regularly
  • preparing Agendas for the Committee meeting/AGM, in consultation with the Committee/members and acting as Chair at these meetings
  • calling special meetings
  • inviting new members into the group (see notes above); meeting with each new member and advising them how the group operates
  • ensuring that there is a principal person (from the committee, or co-opted onto the committee for the period of the gig) allocated for organising every gig.  This principal person will allocate tasks for the gig, in consultation with members
  • preparing an annual report for the AGM
  • ensuring that someone within the group is allocated to empty the PO Box on a regular basis;
  • allocating additional tasks, in consultation with members of the committee/the group in general

 

Vice-President:  The Vice-President is responsible for sharing the work of the President, and to stand in for the President, if the President is absent or takes leave whilst in office.

 

Secretary: The Secretary is responsible for:

  • preparing minutes of meetings, to be circulated to the Committee after meetings, then to members of the group
  • written correspondence
  • checking MCG email and raising items received with the group
  • updating and circulating lists of members’ addresses

 

Treasurer: The Treasurer is responsible for:

  • collection of membership money and tuition fees
  • banking of cheques
  • preparation of financial statements for the AGM and sending fee and report to Consumer Affairs Victoria

 

Concert Master – this position should be held by a member of the committee:

The Concert Master is responsible for:

  • negotiating with the teacher to set the pieces to be practised the following week
  • ensuring members know what pieces are being played
  • negotiating with teacher on who plays which instrument
    • ensuring that members have access to notation.
